RESERVATIONS

Full booking lifecycle: create, edit, assign rooms, check-in, check-out, cancel. Forty-seven fields per booking. Every guest, every history, every detail.

LIVE ROOM BOARD

Visual grid of every room with real-time status: occupied, cleaning, maintenance, or blocked. Front desk, housekeeping, and ownership all see the same board.

EXCURSIONS

Schedule zipline, ATV, sailing, scooter, and any custom activity. Manage capacity, build guest lists, and confirm bookings, all from the same record as the reservation.

KITCHEN & DIETARY

Daily meal reports auto-generated from check-ins. Dietary alerts, allergy aggregation, and special requests carried through from the booking record.

COMMUNICATIONS

Branded email goes out through your own Gmail, with nine customizable templates and eight-step automated sequences. Invoices, receipts, and welcome packets are generated automatically, and you can broadcast an announcement to the whole property whenever you need to.

GROUPS & WEDDINGS

Multi-room coordination for weddings, retreats, and corporate bookings, with a custom itinerary per group and every guest linked back to the parent record.

Plus Dashboard (live occupancy, arrivals, dietary alerts), Transport (airport pickups, driver assignment, unscheduled detection), Reports (ten-plus report types with CSV export), Settings (owner-managed rooms, pricing, packages, and staff, so you never touch a spreadsheet), and an optional AI Assistant for template drafting.

Technical details

Frontend. React 19, Vite, Tailwind CSS v4, and React Router 7. A mobile-first progressive web app that installs to staff phones and works offline.

Backend. Node.js with Express 5 on Google Cloud Run. Containerized and auto-scaling, scaling to zero when idle. Fifty-seven API endpoints across fourteen route files.

Data. Four Google Sheets workbooks (config, operations, comms log, and guest history) with roughly ten million cells of capacity. You own every row, with no database to maintain.

Security. JWT authentication with bcrypt-hashed passwords. Five roles (Owner, Front Desk, Kitchen, Housekeeping, and Guide), each scoped to only the data and actions its job needs.

Automation. Six Google Cloud Scheduler jobs run daily, covering kitchen reports, email sequences, and checkout detection. Every code change deploys automatically to your own Vercel and Google Cloud projects.

Ownership. The full source code is yours, running in your own accounts.

Purchased systems grant a perpetual, non-transferable license to your customized instance; subscriptions grant access while active. The platform itself may not be resold, redistributed, or made publicly available in whole or in part.

Common Questions.

Who is MOSAIC built for?
Boutique resorts, eco-lodges, all-inclusive properties, retreat venues, and small luxury hotels, anywhere from roughly ten to fifty rooms with a mix of accommodations, food and beverage, and excursions or activities. MOSAIC is shaped to fit a new property with very little setup.
What does it actually cost to run each month?
If you own MOSAIC outright, your running costs are very low: hosting that costs almost nothing when the property is quiet, plus a small annual fee for your custom domain. If we run it for you on the managed-monthly plan, all of that is included in your subscription. Either way, your data lives in the Google Workspace you already use, at no extra cost.
Where does my data live?
Inside your own Google Workspace. Every reservation, room, guest record, and message log belongs to you, and we have no access once you're up and running.
Can MOSAIC be customized to my property?
Yes. Room types, package mix, excursion catalog, dietary categories, staff roles, and email templates are all configured during build. An all-inclusive beachfront property and a room-only jungle lodge run the same MOSAIC, shaped to fit each one.
How long does setup take?
MOSAIC delivers within forty-eight hours of purchase. Branding, custom domain setup, owner walkthrough, and per-role staff training run on your timeline from there. The platform itself is already built, so what we're doing is shaping it to your property.
What about the optional AI assistant?
Optional. MOSAIC can connect to Anthropic's Claude to draft guest emails and template variants for you. You bring your own Claude account and pay Anthropic directly, and the whole platform works exactly the same without it.
Are payment plans available?
Yes. 50% down to start the project. Remaining 50% due at install. Payment plan option: 50% down, 25% at install, final 25% within 30 days.
